From the NEA forum:

β€”β€”β€”β€”β€”β€”β€”β€”β€”β€”β€”β€”β€”β€”β€”β€”β€”
What: November 2023 Meeting
Where: American Legion, 16 York Ave, Niantic, CT 06357 (Google Map)
Date: Saturday November 4th, 2023
Time: 10:00 am - noon

Q4 Meeting with wheeling at a nearby private property immediately following the meeting. Trail ratings range from stock-friendly to extreme. As always all members are invited but wheeling is limited to 30 rigs. To start, we will limit sign-ups to 2 rigs per club until Oct 20th. After that its first come, first serve for any remaining spots. In order to maximize trail time the plan is to serve lunch at the property and pre-sort rigs into groups based on rig capability and trail choice. Trailer parking could get a little tight so hopefully we can get a mix of street-drive and trailered rigs. Please RSVP with name, club affiliation, rig specs, trailer requirements, and trail choice (red, black/blue, green).

Preliminary Agenda
Treasury report
Land use
Fall Crawl results
Elections
2024 Meeting Schedule
If anybody has additional agenda items then post them here!

Some other notable points from the meeting.

The organizers of the development of the Grafton, NH property have formed a private group on Facebook called Grafton Development.

There was some talk about starting a policy of a non-refundable deposit for property reservations. Mainly because some clubs have been reserving Field and Forest for a weekend then cancelling the week of the event. A better scenario would be to cancel weeks ahead of time so F&F could open the weekend up to others. Wheeling and camping is their livelihood and having a weekend without this income has a big impact on them. No decision was made.

Because of lower attendance in 2023 Brookridge barely covered its expenses. The consensus was that wheeling in general was down this past year because of rainy weather most weekends. The Brookridge per rig fee has been raised to $25.

There was some talk of raising the per rig fee across the board. The $20/rig baseline has been in effect for 10+ years. There was a suggestion to double it to $40/rig but most seemed to be happier with $30 each. No decision was made.

There was some talk of dropping to 3 NEA4WD meetings per year the thought is that the 3rd quarter meeting has traditionally low attendance and there are generally no pressing matters that need attention. It was also suggested that a 3 meeting per year schedule should be spread equally throughout the year rather than the first weekends of May, August and November. No decision was made.

Thanks for the notes John & for representing the club. I’m all for non-refundable deposits if for some reason the property cancel, there’s a guaranteed way to get the deposit back. Like this year with Badlands, Chip the owner is not answering any emails about refunds for our deposit.

A deposit seems like a fair thing specially for properties that are dependent on the revenue & are out of luck on last minute cancellations.
